On a daily basis, an Administrative Assistant will be responsible for the following:

  • Works under limited supervision.
  • Duties are complex and highly confidential in nature requiring a great use of discretion.
  • Individuals in this position have regular contact/communication with high level internal management, clients, industry officials and senior management in other firms.
  • Arranges conferences, meetings; establishes priorities on behalf of manager or team.
  • Updates files/records, produces reports and various correspondence.
  • Coordinates activities to include answering telephones, managing calendars/appointments, compiling expense reports, putting together presentation materials, and making travel arrangements.
  • Often handles sensitive materials; maintains appropriate levels of confidentiality.
  • Assists and fills in for other support staff.
  • Inputs and maintains internal databases.
  • Trains, coaches or guides other administrative support personnel as required.

Qualifications:

  • High school diploma or GED or equivalent experience
  • 3-5 years experience, Financial Services preferred
  • Excellent knowledge of PC and word processing
  • Strong oral and written communication skills
  • Ability to handle multiple tasks
